General remarks about leadership positions:
YCG needs to officially register with the Club Sports office a total of four officers. These are 1) the President, 2) the Men’s/Women’s Captain, 3) the Treasurer and 4) the Secretary. These positions are only open to Yale College Undergraduates. YCG should aim to fill these with Yale College juniors or sophomores so that knowledge about club organization can be transferred in person from one leadership generation to the next. Below you will learn about the responsibilities of all the members of the executive board.
The President (or Co-Presidents)
Manages the the whole club and is eventually responsible for its overall success.
→ If the president is part of the women’s team, then she is automatically Women’s Captain as well.
→ If the president is part of the men’s team, then he is automatically Men’s Captain as well.
Support all other officers with their jobs and be aware of everything they are doing for the club.
Stay in contact with the training facility (New Era) and make sure that practices are held on a regular schedule.
Send out emails to the mailing list. (In the beginning of each semester information about how the club works and when trial practices will happen. Later in the semester about special events or general information about gymnastics.
Make sure coaches are certified and paid directly through Yale. (It takes a while to get them into the system because they need to be background checked. Plan accordingly.)
Manage YCG’s club membership with the NAIGC. Make sure individuals who plan on attending NAIGC nationals in the spring sign up for NAIGC athlete membership. Subscribe to the NAIGC mailing list and – together with the other Captain – keep an eye out for regional competitions during the year that YCG could attend.
Make sure the club is informed about NAIGC nationals and organize the YCG’s attendance at nationals.
Be aware that YCG can never be associated with drinking. (i.e. make sure only club members know about social practices…)
Do your best to make YCG not only a sports team but also a great group of friends who like to spend time together and share their common interest of gymnastics!
Make sure to do all the things that the Club Sports Handbook requires of Club Presidents:
Serves as liaison between the club and the Club Sports Office.
Ensures compliance with the regulations and guidelines.
Attends, or assigns someone to attend, all club sports meetings.
Ascertains that the club’s financial commitments are met.
Maintains a current budget balance.
Submits all forms, scores, and reports on time.
Completes and submits accident reports.
Is responsible for rental vehicles and their legal and safe use.
Keeps the club advisor apprised of all club activities.
Conducts safe practice sessions during a coach’s absence.
Checks the club mailbox and e-mail regularly.
Transacts all financial matters with the Club Sport Office, including reimbursements.
Insures that all drivers have taken Yale’s Driver Awareness Training Course
Insures that all travel policies are adhered to.
Follows all other guidelines set forth in the Club Sports Handbook.
The Women’s/Men’s Captain
Manage all events that are gender specific for your team. (men’s or women’s)
Subscribe to the NAIGC mailing list and – together with the President – keep an eye out for regional competitions during the year that YCG could attend. (Also those that are just for your gender.)
Manages those gender-specific issues that the Club President is not directly involved with.
The Treasurer
Collect membership dues and other payments from club members. (for example $150 semesterly membership dues, $10 dues for a trial practice, petrol+tolls for travel or accommodation expenses in the case that YCG cannot cover them)
Administrate YCG’s bank account with Peoples’ United Bank via online banking and Venmo. In the end of the year or the beginning of the next year, make sure to go to the bank and give access to the next year’s treasurer. (The Venmo login information will be given to you by last year’s treasurer and/or president.)
Prepare the club’s yearly budget and funding application together with the clubs President in the beginning of the fall semester and submit it to the CSAB (past applications will be available in the treasurer’s google drive folder for reference)
Supports the Club President with all financial issues.
The Secretary
Send out practice sign-up emails, organize driving groups and send out driving information to the list on the day of practice. Fill out Yale Club Sports driving forms accordingly.
Answer to all general inquiries about YCG received via gmail. Add interested people to the appropriate gmail group, mailchimp mailing list and GroupMe. (The president will give you access to those accounts.)
Supports the Club President with email correspondence and organizes carpooling.
The Publicity Chair
Post to the club’s facebook page (or other social media channels) from time to time.
Put up posters on campus in the beginning of each semester to recruit new members.
Keep others informed about gymnastics at Yale (club + varsity).
Supports the Club President with publicity work.
The Gear Captain
Supports the Club President with competition as well as warm-up apparel issues.
Order warm-up apparel and t-shirts in the beginning of the year for members who want to buy team gear. Document sizes and quantities so that the treasurer/president can collect the appropriate amounts of money.
Store competition apparel (in possession of the club) and distribute/recollect/wash it when the club needs it for a meet.
Feel free to be creative. You can design special gear or accessories. Would be cool!
The Social Practice Captain
Helps the Club President build team spirit.
Organize events for team bonding and some good times. (You’ll need to figure out financials for social events with the treasurer/president.)
Should probably be a senior with lots of social experience.
(With age comes wisdom.)
Is aware of the fact that YCG can never be associated with drinking alcohol or the consumption of any other evil substances. (IMPORTANT!)
